Included in every edition

Nothing overdue goes on the boat.

Boats, rental sets and cylinders each keep their own history. Service dates, fills and issue reports decide what is ready, so a regulator past its service never reaches a diver.

From the gear room to the boat and back.

Every piece of gear follows the same loop. Each step is one scan or one tap, at the desk or on a guide's phone.

  1. Packed

Sizes come from the bookings. The packing list per boat or group says what goes on board.

  2. Checked out

Scan the rental set's QR. Anything overdue or reported broken is refused before it leaves.

  3. Returned

Scan it back in. Missing items show up the same afternoon, not at the next stock count.

  4. Cared for

Service dates, fills and issue reports keep each item's history and decide when it is ready again.

Boats

Every boat knows its limits.

Capacity, captain, licence and safety checklist live with the boat. Before it leaves, the check runs on the captain's or guide's phone, and the headcount on return is compared with the one at departure.

  • Persons on board. A warning before the trip passes what the boat's licence allows.
  • Hired boats. Independent boats with the captain's phone: call or message from the trip.
  • Shared boats. Seats shared with partner shops, each shop seeing only its own divers.

Rental gear

Packing lists that pack themselves.

Divers give their sizes when they book. DiveHive turns them into a packing list per boat or per group and suggests a ready set for each diver, so the gear room packs once, the night before.

  • Serialised or counted. Regulators and computers by serial number, weights and masks by count.
  • Straight from the booking. Rental needs and sizes travel with the diver, no extra form.
  • Only ready gear is suggested. Overdue or reported items never make it into a set.

Service and issues

Overdue means out of service.

Set a service interval per item: by date, by compressor hours, hydro test and visual inspection. Reminders come before the due day. From the day after, the item cannot be assigned, checked out or, for a cylinder, filled.

  • Reminders in time. 30 days or 10 compressor hours before it is due, to the owner and admins.
  • Anyone can report. A guide flags a free-flow from the boat, with a photo. Serious issues take the item out at once.
  • Repeat flags. The same fault on the same item twice gets noticed.

Fills and compressor

Every nitrox fill, analysed and signed.

Each fill goes in the log with the gas, the analysed oxygen and who analysed it. A reading more than 1% off the mix is flagged before the cylinder goes on the boat. Compressor hours sit next to the fills.

  • Analysis required. A nitrox fill without an analysis is not finished.
  • No fill past the test date. Cylinders with an overdue hydro or visual are refused at the fill station.
  • Oxygen on board. Emergency kits per boat, with an estimate of how long the oxygen lasts.

Ready means ready.

Rules, not memory.

Overdue gear is refused by suggestions, assignment, check-out and the fill station. Nobody has to remember the date.

Everyone can flag.

Guides, crew and the gear room report problems from their phones. Serious ones take the item out straight away.

The shop decides.

Owners and admins set the intervals, close issues and edit the history. Staff check out, return and log fills.

Questions shops ask about fleet and gear.

More in the FAQ, or write to hello@divehive.app.

What happens when a piece of gear is overdue?

On the due day it still works and shows as due. From the next day it is out of service: it is not suggested for a set, cannot be assigned or checked out, and an overdue cylinder cannot be filled. Servicing it brings it back.

Can guides check gear out on their phones?

Yes. In staff mode a guide scans the rental set's QR at the jetty to check it out, and again on return. The desk can do the same.

Do I have to number every mask and weight?

No. Serialise the items that need a history, such as regulators, BCDs, computers and cylinders. Keep the rest as counted stock.

We hire boats from independent captains. Does that work?

Yes. Add the boat with its captain's phone. It appears on trips like your own boats, and you can call or message the captain from the trip.

How does the nitrox log work?

Every nitrox fill needs an analysis with the oxygen reading and who took it. A reading more than 1% off the target mix is flagged so someone checks the cylinder before it goes out.

Can you service my customers' own gear?

Yes, with POS and retail: work orders for divers' own equipment, and prepaid air and nitrox fill cards.
